How PaymentFlow Limited uses the personal information you give us through this website, including quote requests.

Last updated 11 October 2026

Who we are

PaymentFlow Limited (“PaymentFlow”, “we”, “us”) is a company registered in Scotland (company number SC858003); its registered office is shown at the foot of this page. We are the controller of the personal information described in this notice.

Questions about this notice or your information: email info@paymentflow.co.uk or call 0141 379 2222.

What we collect

  • When you ask for a quote: your name, email address and phone number, the best time to call, your business name, type and postcode, and what you tell us about how you take card payments today (your current provider, card takings, average sale, number of card machines, what you pay, your rate and when your contract ends), plus anything you write in the message box.
  • When you contact us: what you send us by email or tell us by phone, including any card statement you choose to share.
  • When you visit this website: our hosting provider keeps short-lived technical logs (such as your IP address, browser type and the pages requested) to keep the website secure and working. We don't use cookies, analytics or advertising trackers.

How we use it, and why we're allowed to

  • To prepare and send your quote, and to talk to you about it. We do this because you asked us to, as a step before entering into a contract, and with your agreement to be contacted (which you can withdraw at any time).
  • To keep a record of enquiries and improve how we respond. This is in our legitimate interests in running our business.
  • To keep this website secure. This is in our legitimate interests, and yours.
  • To meet legal obligations, for example keeping business records.

We won't send you marketing unless you ask for it, and we never sell your information.

Who we share it with

  • Our technology provider, which runs our quote system, business portal and email delivery for us and only uses your information on our instructions.
  • Our website hosting provider.
  • Our FCA-authorised payments partner, only if you decide to go ahead, so that your merchant account can be set up. It is a separate controller with its own privacy notice, which we'll give you before you sign up.
  • Professional advisers, and anyone we are required by law to share it with.

Some of our providers may handle information outside the UK. Where they do, we make sure appropriate safeguards are in place, such as the UK International Data Transfer Agreement or an adequacy decision.

How long we keep it

If you ask for a quote and don't become a customer, we keep your request for up to 24 months after we last spoke, then delete it. If you become a customer, we keep it for as long as you're a customer and for up to six years afterwards, to meet our legal and accounting obligations.

Your rights

You can ask us for a copy of your information, ask us to correct or delete it, ask us to restrict or stop using it, object to how we use it, or ask for it in a format you can take elsewhere. Where we rely on your agreement, you can withdraw it at any time. Email info@paymentflow.co.uk.

If you're unhappy with how we've handled your information, please tell us first. You can also complain to the Information Commissioner's Office: ico.org.uk/make-a-complaint or 0303 123 1113.

Card payments

If you become a customer, your card payments are processed by our FCA-authorised payments partner under its own terms and privacy notice, and your takings are paid out to your business bank account.
